DOTD Pilot Succession Planning Program  - As a result of Team 17.2 recommendations, DOTD developed a one-year pilot program last fall with the goal of evaluating, modifying if necessary, and implementing an agency-wide Succession Planning Program. Succession Planning provides the systematic development of a broad pool of employee talent to meet the current and future staffing needs of DOTD. As the one year pilot program concludes October 31, 2008, DOTD is looking forward to implementing a strategy to roll out its Succession Planning Program agency-wide. PPR Reminders  - All PPR rating forms must be submitted to either District or Headquarters HR by Wednesday, July 2, 2008. All PPR planning sessions must be conducted by July 15, 2008 for the July 1, 2008 - June 30, 2009 rating period.
 
Associate Recognition Awards Program  - Effective July 1, 2008 the Associate Recognition awards program ("Gold Star for Excellence," "Above & Beyond the Call of Duty," etc.) will move to Human Resources. Please continue to recognize the hard work of your fellow co-workers by accessing the program on HR's webpage on the Intranet. July 2008 Events

July 2 PPR rating forms must be submitted to either District or Headquarters HR
July 4 Independence Day Holiday
July 9 Department of Civil Service Commission Meeting.
July 15 All PPR planning sessions for FY 08-09 must be conducted.
July 15 Standing Committee on Human Resources (SCHR) Meeting.
July 16 All ratings must be entered into ISIS by district/HQ HR.
July 31 New Employee Orientation, HQ 3rd floor classroom.

Employee Administration Unit Update

Maintenance of email address and telephone number in ISIS - ISIS encourages all employees of the State of Louisiana to maintain their work email address and telephone number in the directory in LEO. This information is mandatory to register for any ISIS training and can be viewed by all state employees. Click here for instructions on how to maintain this information.

Dependent Verification - The Office of Group Benefits (OGB) has implemented a new policy effective July 1, 2008 that requires all active and retired employees to provide written proof that each dependent is an actual legal dependent. In August 2008, HR will publish a schedule for employees to provide appropriate written verification for all currently covered dependents and spouse. Personnel Management Unit Update

PPM Revisions - PPM #46 (DOTD Standing Committee on Human Resources-SCHR) and PPM #55 (Performance Planning and Review Procedures-PPR) have been revised. Highlights of the revisions are below; please feel free to visit the HR webpage to view each newly revised policy.

PPM #46 DOTD Standing Committee on Human Resources (SCHR)

  • #2 was revised to reflect that the committee reviews and makes recommendations to the Chairman of SCHR (Undersecretary, Office of Management and Finance); recommendations were previously made to the Secretary of DOTD.
  • #6 was revised to reflect that items received by the 25th of the month will be considered at the following month's meeting; deadline was previously the end of the month.

PPM #55 Performance Planning and Review Procedures (PPR)

  • #3. a. (1) clarifies that a planning session must be completed within 30 days for all employees who are reallocated or placed in a different position.
  • #3. a. (2) reflects that pre-written expectations for all supervisors are mandatory.
  • #3. a. (6) allows the rating supervisors to complete the performance rating and the planning session at the same time.
  • #3. b. (1) changes the timing of mid-year reviews from January of each year to December of each year.
  • #3. b. (3) requires both employee and supervisor to sign the mid-year review document.
  • #3. c. (6) requires unofficial close out sessions on transferring employees and supervisors leaving DOTD.

Refer a friend who's hired by DOTD…Get $ 500! - DOTD's Internal Referral Rewards Program rewards employees who refer applicants for difficult-to-fill positions who are eventually hired by the agency. Employee Relations Unit Update

Charles E. Dunbar, Jr. Career Service Award Nominations Announced - The Louisiana Civil Service League is accepting nominations for the 50th Annual Charles E. Dunbar, Jr. Career Service Awards. The Dunbar Award is the highest honor classified state employees can receive for their service to the citizens of Louisiana. Nominees are judged on commitment to classified service, contributions toward work or workplace improvement, personal initiative, and volunteer community service. Nomination forms may be obtained from Candy Cardwell in Human Resources (225 379-1241); completed forms must be submitted to Candy no later than Friday, August 8, 2008.

Educational Leave/Tuition Reimbursement for Fall 2008 Semester - PPM 17 provides that full-time employees with one year of DOTD service may request educational leave and reimbursement of tuition cost for college courses directly related to their job duties. The Application and Contract Form should be submitted in advance to the appointing authority so that final approval will be received by the semester start date. This form is available on the HR Intranet website. For more information about DOTD's educational leave/tuition reimbursement program, please contact Candy Cardwell at (225) 379-1241.
